Hiring a Non-Employee 

To onboard a Non-employee Student/Intern or Visiting Researcher:

  1. Complete the CGM Non-Employee Internal Form.

To onboard a Post-doctoral Research Fellow with outside funding: 

  1. Complete the CGM Monthly Employee Internal  Form. 

Post-doctoral Fellows with external funding are considered POI (person of interest). POI’s will need to go through the Central Credentialing process and be appointed to MGH. Official documentation of external funding is required and must meet the current Post Doctoral Salary requirements. External funding notice will be submitted with a completed and signed Salary Exception Form to the Professional Staff Office by CGM HR for approval.

After the CGM Faculty member/designee completes the above form, we will reach out to the non-employee to complete the necessary online forms. We will cc the CGM Faculty member/designee on all correspondence.

Processing can take up to 4 weeks from the date a request is submitted by CGM HR to the Non-employee Office. If applicable, non-employees will need to complete a HireRight background check in a timely manner. When possible, non-employee access requests should be made at least 5 weeks in advance of the anticipated start date as we cannot guarantee expedited processing.

Non-Employee Student/Intern:  Individual who is currently enrolled in an educational program participating in a formal or informal internship with CGM to gain skillsets related to program and/or field of study, where internship is essential as part of the educational program.

*Internships must be educational experiences and not a substitute for paid work, nor as a placeholder until a person gains employment*

Non-Employee Researcher/Visiting Researcher: Individual assisting with or conducting research, who is not enrolled in an educational program, and is receiving salary or funding from an external employer.

  • Non-employee researchers are required to have external funding; we’ll need confirmation of external salary support. Official letters of support must be attached to the request at the time of submission. Letters must include the name of the person receiving funding, the amount of funding, and the pay period. Letters should also state that your non-employee is being paid for their time/work at MGH. You may use the ‘Non-Employee External Funding Template‘ posted.

 

Please note, in some cases, individuals who hold an MD or PhD, will need to be brought on through the professional non-employee office and be credentialed. If you feel that your non-employee would fall into this category, please email CGMHR@mgh.harvard.edu.

 *IMPORTANT* If a current full-time/part-time paid employee is departing the MGH-CGM and will require access to complete projects/continue performing the same job duties, please reach out to CGMHR@mgh.harvard.edu as likely this employee should remain on a per-diem basis, and does not meet requirements for Non-employee access.
