Hiring a Professional/Monthly Employee
Please note, the processing times for MGH credentialing are estimated at minimum of 4 months.
New hires requiring Visa sponsorship (whether it be a new Visa request or a transfer of current Visa from a non-MGB institution), will have the appointment filed together with the Visa application. Official start dates for Visa holders will be decided upon by the GPS International Office advisors. The incoming candidate is responsible for maintaining employment and visa status with their current employer until the GPS advisor has processed and/or approved new sponsorship or visa transfer.
Research Fellows that have not completed their program requirements and are still pending defense to obtain their MD/PhD degree, will require additional processing times. Credentialing applications require either a copy of the Fellow’s degree certificate, or an official letter from the academic institution stating that the Fellow has completed all requirements of the program, defended their thesis successfully and have been/will be appointed the degree of MD and/or PhD.
Two (2) letters of recommendation are also required for processing appointment requests.
The same estimated times apply to Non-employee Research Fellows (POI), even though they are not on MGH payroll.
Please allow an additional 30 day processing for CGM-OfficeManager due to high volume demands.
**Non-clinical appointments in departments other than Psychiatry**
- To begin the hiring process of a non-clinical appointment in a department that is NOT Psychiatry, the CGM Faculty member must: Complete: CGM Monthly Employee Internal Form
- Please follow the prompts to include required offer letters, chief letters, etc as applicable to the appointing department.
- When the CGM Faculty member has completed the initial request, we will reach out to the candidate to request the following information: CGM Monthly Employee External Form
- Once both CGM e-forms are complete, the CGM-OfficeManager will submit a request to the appointing department for HMS Credentialing, and to the Professional Staff Office for MGH appointment.
- The Professional Staff Office (PSO) will reach out directly to the candidate to initiate the Criminal background and Education verifications thru HireRight and the Massachusetts CORI check.
- The PSO requires 30-45 days to complete this new appointment/onboarding process. Before extending a job offer, please be sure that the candidate’s anticipated start date will allow enough time for HR to complete the process. If visa sponsorship or visa transfer is required for the candidate, please allow additional time for processing. CGM-OfficeManager will provide approximate time for visa processing depending on type of sponsorship or transfer, however, final start date confirmation will be provide by the GPS International Office advisor. The incoming candidate is responsible for maintaining employment and visa status with their current employer/sponsor until GPS has confirmed official start.
**Non-clinical appointments in the Department of Psychiatry**
Please note, the Department of Psychiatry will reach out to the candidate with the official Fellow Offer Letter, confirming the official start date.
- To begin the hiring process of a non-clinical appointment in the Department of Psychiatry, the CGM Faculty member must: Complete: CGM Monthly Employee Internal Form
- When the CGM Faculty member has completed the CGM request, the CGM will reach out to the candidate to request the following information: CGM Monthly Employee External Form
- When both CGM e-forms are complete, CGM-OfficeManager will submit the request to Psychiatry through their online system called PATH.
- PATH will generate an offer letter. When the offer letter is generated, it will be sent to you for review and final signature by the CGM PI. Once finalized, it will be uploaded to PATH, to be sent for approval by Psychiatry Leadership.
- Once approved by Psychiatry, Megan Shea will reach out directly to you and your candidate with the official offer letter and begin compiling the necessary documents for the appointment application.

MGH Human Resources will approve this as a “courtesy posting” – meaning, the job will be posted onto Taleo but candidate review, interviewing, offer and onboarding processes, etc will go through the CGM following the steps above.
