UKG Dimensions is the scheduling and timekeeping system for
all benefits eligible Exempt and Non-Exempt weekly paid MGH/MGB employees.
*Does not apply to Professional Monthly Staff, Faculty, Fellows, Instructors, etc.
Any schedule or shift changes, need for over time hours, etc. MUST be approved by your PI, and the CGM Timekeeper (TimeKeepingCGM@mgh.harvard.edu) MUST be notified PRIOR TO these changes.
If you are attending a work related training, conference, or meeting, please email the CGM Timekeeping Inbox with upcoming dates and a copy of the registration and agenda. Training and Conferences must be coded as such on your timecard.
Both Exempt and Non-Exempt employees MUST obtain prior approval for time off/vacation days PRIOR TO entering their vacation requests in UKG in a timely manner for CGM Timekeeping approval.
Both Exempt and Non-Exempt employees must manually enter PTO (ET) for all closings on MGH Holidays into UKG – these are not automatically updated. If you are required by your PI to work on an MGH Holiday date, please email the CGM Timekeeping inbox directly with their approval, prior to the holiday date! The 2024 MGH Calendar can be found below as reference.
Exempt weekly paid employees will have a pre-set schedule built into UKG and DO NOT need to use UKG to capture their working shift/hours. However, Exempt employees will need to report use of Earned Time (ET) for vacation, time off, sick days, etc.
Non-Exempt employees must use UKG to clock-in and clock-out for their work shifts.

Current CGM Policy
All weekly employee (full time, part time and per-diem employees) reviews are processed through the online MGB-Evals system. Automatic links will be sent to you and your supervising PI when your review is due. Reviews and merits must be completed each year.
Research Fellow Progress & Annual Career Planning
All Research Fellows must complete an Annual Career Conference with their PI on the date of their annual hire date each year.
Please complete the Annual Career Conference form (available below in PDF and Word format) and submit to the CGM Office Manager who will enter the annual merit salary increase.

Access for new or established CGM Employees, Non-employee Students, Researchers, etc who experience trouble with or need building badge access, should fill out the RedCap form below and CGM Administration will review and process the request–
Employees/Non-employees will not be allowed MGH/MGB system access, upon their departure from MGH/MGB.
The PI and Employee/Non-employee will need to review and complete a “Data Access Agreement” for the purpose of finishing up work and platforms such as Dropbox or LabArchives can be used to share data.
